We are currently looking for a PART TIME ADMINISTRATIVE ASSISTANT (M/W) in German Office, Obertshausen.

The main role of the position is to provide administrative and clerical services in order to assure effective and efficient operations. Administrative Assistant is also responsible for improving the operational systems, processes and policies supporting the management and whole organization.

What would be your key responsibilities?

  • Supporting Managing director in all administrative and organizational issues
  • Providing analysis and support on operational, financial and organizational tasks and projects.
  • Handling basic legal and administrative tasks and procedures; ownership of company archive.
  • Local HR administration and support to global HR Manager in all HR regular processes.
  • Preparing correspondence, reports, presentations etc. using business software applications, preparing necessary data for annual budget, analyzing variances and initiating corrective actions.
  • Preparing documents for external accountants and payroll provider.
  • Control and procurement of cashier and credit card payments.
  • Taking care of dunning process.
  • Travel management for employees and guests.
  • Reception services, management of incoming and outgoing post and mail, secretarial services and management of shipments.
  • Maintaining contact with general facility suppliers such as cleaning service, utility and service suppliers, post office, banks, etc.
  • Managing all office purchases, periodically assuring inventories of office supplies.

What do we expect from the candidates?

Education and experience

  • Bachelor degree in Economics, Administration or other appropriate studies.
  • 1 - 3 years of experience with organizational, financial, HR and administrative tasks and project management.
  • Excellent text processing and IT skills including knowledge of a range of software packages (MS Office).
  • Fluent spoken and written German and English language skills.
